A detailed explanation of the inventory, storage, and equipment permissions.
No access
The user will not see the dropdown menu of the module they have no permission to, and will NOT be able to view any of the pages listed below.
Inventory and Storage
- All collections index and show pages (including companies, botany, and rodents lists)
- Shopping list and order history
- Storages
- Index and show pages for boxes, stocks, plates, and cryogenic canes
ELN pages
The user will be able to see existing inventory-related elements (samples, plate, compound, and reaction), but will not have the ability to create new or edit existing ones.
View permission
A user with View permissions will be able to view drop-down menus of the modules they have access to and perform the activities listed below in each of the modules.
Inventory and Storage
Users will be able to:
- View all collections index and show pages (including companies)
- Use the filtering and sorting features in a collection index page
- Print labels for stocks, boxes, plates, and storage locations
- Export collection information
- Create and edit stocks (including bulk import/update)
- Create and edit boxes and plates
- Upload attachments to stocks, boxes, and plates
- Add tags, links, and comments to stocks
- Add tags and links to boxes
- Add tags to plates
- Be the owner of stocks and boxes
- Consume and dispatch stocks
Users will NOT be able to:
- Create new items
- Create new storage locations, edit or delete existing ones
Equipment
Users will be able to:
- View equipment-related pages
- Create events in the equipment calendar
- Customize, filter, and sort index pages
- Print labels
- Export equipment
- Download attachments
- Add links, tags, and comments in the equipment show page
- Perform maintenance events
ELN pages
The user will be able to create and use inventory-related elements such as the sample and plate elements. These functions include:
- Creating stocks
- Selecting items and stocks
- Consuming stocks
- Marking stocks as output
- Subtracting used amount
- Placing stocks in plates
The user will NOT have the ability to:
- Create new items via the sample element
- Add compounds/reactions elements
Edit permission
Users with Edit permission will be able to create and edit entities in the system (items, stocks, equipment, storage locations) but not to delete them. In addition, users will not have the option to customize collections and index pages as well as stocks and equipment index pages.
Edit permission includes all View permissions, plus the privileges listed below.
Inventory and Storage
Users will be able to:
- Create and edit collection items and storage locations
- Use the bulk import/update option
- Upload attachments to an item's show page
- Add tags, links, and comments to items
- Create tasks for items
- Set low stock alerts
- Manage vendors (create and edit companies)
Equipment
Users will be able to:
- Create and edit equipment
- Use the bulk import/update option
- Upload attachments to an equipment show page
- Archive equipment
- Share equipment to the departmental account
Users will NOT have the ability to:
- Create/Edit maintenance types
- Create/Edit maintenance templates
- Delete previous maintenance events
ELN pages
Users will be able to:
- Create items via the sample element
- Add compounds/reactions elements
Delete permission
Users with Delete permission have high-level permissions which include all the above-listed permissions and allow nearly full access to all delete aspects across all related pages: Items, consumed stocks, boxes, plates, storage locations, equipment, and maintenance events.
However, users with Delete permission will not have customization abilities (collections, labels, maintenance templates, and maintenance types).
Admin permission
The Admin user will keep all the above-listed permissions and will also be able to:
- Customize the inventory menu from 'New collection & settings page'
- Customize collections, stocks, and shopping list orders
- Create and edit label templates for stocks, boxes, storage locations, and plates
- Create new maintenance types
- Create maintenance templates
💡 Collection-Level Permissions
Beyond the module-level permissions described above, admins can restrict individual collections to specific members or teams. A member needs both the appropriate module-level permission and access to the collection in order to see and interact with it.
