Customers are the organisations your portal serves — each has its own users and submissions, kept separate from every other customer's.
Creating a Customer
Go to Customers → New Customer. Fill in:
- Name (required)
- Primary Contact Name
- Telephone Number
- Website URL
- Country/Region
- Billing Address
- Notes
Inviting a User
Open the customer's show page and click Invite User. Enter their email and, optionally, first and last name. They receive an invitation email with a link to set their password.
Invited users are created as External User and tied to this customer — they only ever see this customer's own data.
Viewing a Customer's Activity
The customer show page has two tabs:
- Users — everyone belonging to this customer
- Samples — every submission from this customer
Viewing Users
The Users list shows everyone in the system. Click a user to see their profile.
Invitation Status shows one of:
- Accepted on <date> — user has logged in
- Pending (sent <date>) — invitation sent, not yet accepted
- Active — account is active
Deactivating a Customer
Deactivating a customer removes portal access for everyone who belongs to it. The customer's record and submissions are kept, and the customer can be activated again at any time.
Open the customer's show page and select Actions → Deactivate Customer, then click Deactivate to confirm.
All of the customer's users are deactivated along with it and can no longer log in. The customer's Status changes to Deactivated, and no new users can be invited to it until it is activated again.
To restore access, open the customer's show page and select Actions → Activate Customer.
Activating a customer does not reactivate its users. Each user must be activated individually from their profile page with Actions → Activate User.
